Dashboards for Operations Leaders & Managers
This guide shows all dashboards available to Operations Leaders and Operations Managers in AiVII, what each one is for, and how to use them effectively to monitor performance, manage caseloads, and support delivery teams.
When to use this
- You need a complete overview of learner progress, reviews, and OTJH for your area.
- You want to identify at-risk learners and support coaches proactively.
- You need to track funding and compliance indicators for your caseload.
- You want to track performance of you team.
Dashboards available for Operations Leaders & Managers
1. Immediate Priorities (Role-Specific)
Purpose: Highlights the most urgent performance and compliance actions for your role.
Key metrics:
- QAR, Max QAR, withdrawal rate
- Learners out of funding, BIL trackers, withdrawal trackers
- Active learning requiring intervention
- Outstanding learning and marking
- Review status
- Caseload capacity and upcoming completions
- Monthly OPP and outstanding completion payments
When to use: At the start of each week to decide where to focus efforts.
2. AiVII’s Summary (Role-Specific, Intelligence Only)
Purpose: AI-generated narrative interpreting the current performance data for your role.
Features:
- Summarises key risks and positive indicators
- Identifies priority areas for action
- Uses your role’s dashboard data to generate recommendations
When to use: Before leadership meetings, reviews, or when setting team priorities.
3. Operations Leader Dashboard (note Operations Manager role cannot see Operations Leader dashboard)
Purpose: High-level operational view across all teams or regions you oversee.
Key metrics:
- Average learner progress and OTJH %
- Learner risk ratings (Red/Amber/Green)
- Review status breakdown
- Caseload size and distribution by coach
Drill-through tips: - Click on any risk rating segment to see the learners in that category.
- Drill into individual learners for detail on progress and active learning status.
4. Operations Manager Dashboard
Purpose: Focused view of your direct team’s performance.
Key metrics:
- Individual coach performance (progress, OTJH, review completion)
- Funding status for active learners
- At-risk learners by coach
Drill-through tips: - Right-click any coach metric to drill through to their learner list.
- Filter by programme, region, or employer.
5. Operations Manager Detail
Purpose: In-depth breakdown of each coach’s caseload.
Key metrics:
- Caseload per coach (in/out-of-funding)
- Average learning plan progress and OTJH
- Upcoming completions
- Risk rating breakdown
- Functional Skills aims
- Progress reviews (due/overdue, no review date)
Drill-through: Click learner names to open Learner Dashboard.
6. Skills Coach Dashboard
Purpose: View each coach’s learner performance and workload.
Key metrics:
- Average progress and OTJH %
- Learner risk ratings
- Active learning status
- Funding status
- Outstanding marking
- Review status
- Functional Skills aims
- Timely completion %, QAR, Max QAR
Drill-through: Use for side-by-side comparison between coaches or individual learner drill-down.
7. Learner Dashboard
Purpose: Single learner view.
Key metrics:
- Programme details and funding status
- Risk rating
- Due/overdue training plan elements
- Functional Skills progress
- Review dates (last and next)
- Outstanding marking and compliance docs
Drill-through: Accessed from other dashboards when you click a learner’s name.
8. Learner Drill Through
Purpose: Tabular list of learners meeting specific filter criteria.
Filters available:
- Ops Manager
- Skills Coach
- Funding status
- Risk rating
- Active learning
- Reviews
- Programme status
- Employer
Drill-through: Click learner names to open the Learner Dashboard.
9. Employer Dashboard
Purpose: Performance overview for learners grouped by employer.
Key metrics:
- Average progress and OTJH %
- Active learning status
- Funding status
- Review status
- Upcoming completions
- Timely completion %, QAR
- Number of learners at risk
Drill-through: Click employers or learners to go deeper.
9. Employer Drill Through
Purpose: Tabular list of all learners linked to a specific employer.
Filters available:
- Ops Manager
- Skills Coach
- Programme status
- Funding status
- Risk rating
- Active learning
- Reviews
- Employer
Drill-through: Click learner names to open the Learner Dashboard.
Tips for Operations dashboards
- Always set filters before running large lists to speed up loading.
- Check the Last Data Refresh date before reviewing performance data.
- Bookmark your most-used dashboards for faster access.
