Your Data Refresh Schedule

AiVII dashboards refresh at different intervals depending on your plan type and how your data is provided. This guide explains how often your dashboards update, when updates occur, and what affects the timing.

When to use this

  • You want to know when to expect the latest data in AiVII.
  • You’re comparing figures with your LMS and wondering why they differ.
  • You need to plan reporting or meetings around the freshest data.

Update frequency by plan

Plan Typical refresh frequency Notes
Core 3 times per week Scheduled on fixed days (e.g. Mon/Wed/Fri)
Clarity Once per day Full refresh overnight
Intelligence Typically once per day, but up to 3 times per day for certain data feeds or if agreed with provider. High-priority datasets may update more frequently

Daily update window

  • Automated daily refreshes happen between 11:00 pm and 4:00 am (UK time).
  • If you log in before 5:00 am, you may still see the previous day’s data.
  • Once the refresh completes, all dashboards reflect the latest processed data.

 

Automated vs. manual updates

Automated updates

Your data will refresh automatically if your organisation uses a direct connection such as:

  • API
  • Microsoft Fabric
  • OData link

Tip: Automated connections reduce the risk of delays and ensure updates run on schedule.

 

Manual uploads or email submissions

If your organisation provides data by manual upload or email, updates depend on:

  • Timely submission of files.
  • Using the correct template.
  • Supplying data in the correct format.

Any delays, errors, or incorrect formats will prevent updates from running.

Why data might look “out of date”

  • The refresh window has not yet completed.

  • A scheduled refresh failed due to a data format or connection issue.

  • Manual files have not yet been submitted or approved.
